About these terms

These terms are the agreement between your lodge and us for the use of Lodge Platform. Please read them before you create an account or add your lodge.

Lodge Platform is provided by Glimmers Store Limited, a company registered in England and Wales (company number 16017810). Registered office: Swinford House, Albion Street, Brierley Hill DY5 3EE. We are not registered for VAT. In these terms, "we", "us" and "our" mean Glimmers Store Limited. You can reach us at web@lodgeofalliance.org.

"Your lodge" means the lodge (or chapter, or other Masonic body) whose account it is. "You" means the lodge and the people who use Lodge Platform for it. The person who adds a lodge, or later looks after its account, is the account holder. The account holder agrees to these terms on the lodge's behalf and confirms that the lodge has agreed they may do so.

These terms work together with:

What the service is

Lodge Platform gives lodges online tools to help run the lodge. Today that is the Table Planner: seating plans for festive boards, Ladies Festivals and other dinners, worked on together by the people the lodge chooses. Where we offer it, it also includes a lodge website, written with your help and checked against UGLE guidance.

What each plan includes, and what it costs, is set out on our pricing page. We add new features as we learn what lodges need; we won't take away something your lodge has paid for during the year it has paid for.

Your account

  • You must be 18 or over to have an account.
  • Give us your real name and an email address that you read. Other members of your lodge team will see your name.
  • An account is for one person. Don't share your password or let anyone else sign in as you.
  • Keep your password safe, and tell us straight away at web@lodgeofalliance.org if you think someone else has used your account.
  • You are responsible for what is done through your account.

Your lodge and its team

  • The account holder looks after the lodge's account on Lodge Platform: who is on the team, what each person can do, and the lodge's plan. The account holder can choose team managers to help.
  • The team. The account holder and team managers decide who joins the lodge's team and what each person can do. Seating plans can include dietary and health needs, so only give access to people who need it, and remove people who no longer need it.
  • Site support. Our support staff can open a lodge's plans and pages to help, and to keep the service safe. When they do, they are shown as "site support" and what they do is recorded.
  • If the account holder leaves. If the account holder leaves the lodge without handing the account over, or two people claim the same lodge, we will make another member of the lodge the account holder on a written request from the lodge's Worshipful Master or its Secretary as listed by the Province, and we will keep a record of the change.

What you put into the service

Your lodge is responsible for everything it and its team put into Lodge Platform: seating plans, guest details, lodge details, text, photographs and logos ("your content").

You agree that your content:

  • is accurate, and is yours to use or you have permission to use it;
  • contains no ritual, no minutes and nothing else your lodge or the Craft keeps private;
  • doesn't break the law or anyone's rights, including copyright and privacy;
  • contains only the personal information your lodge needs, and that your lodge has a lawful reason to hold it (our data processing agreement explains this, including for dietary and health needs).

We don't check your content before it is saved, but we may remove content, or suspend access, if we reasonably believe it breaks these terms or the law. We will tell you why, unless the law stops us.

Lodge websites and AI-written text

Where you use the lodge website tools:

  • The text is drafted by an artificial intelligence (AI) service from the details you give us. AI can be wrong: it can get facts, names, dates and history wrong, or invent them. Read and check every draft before you use it.
  • The website tools are built around UGLE guidance, and they check drafts against a list of points from that guidance. That check is a help, not a guarantee. It is your lodge's responsibility to make sure its website follows the rules of the United Grand Lodge of England and of its Province, and to get Provincial approval, where the Province requires it, before the website goes live.
  • You are the publisher of your lodge's website and responsible for what it says.

Fair use

Please don't:

  • try to get into accounts, lodges or parts of the service that aren't yours;
  • interfere with the service, overload it, or test its security without our written permission;
  • copy, scrape or resell the service or other lodges' information;
  • use the service to send unwanted messages or to harass anyone;
  • use the service for anything unlawful.

Paying for the service

  • Prices are on our pricing page. The price shown is the total your lodge pays. We are not registered for VAT.
  • Free trial. New lodges can try the Table Planner free for 60 days, with no card needed. Nothing is charged when a trial ends: if your lodge doesn't pay, its seating plans become read-only (your team can still open, print and download them) until it does.
  • Paying. A lodge pays a year at a time, by card, through our payment provider Stripe. The account holder or a team manager pays from the lodge's Account & billing page. We never see or keep full card numbers. If your lodge would rather pay by bank transfer, email us.
  • Renewing. The subscription renews each year on the same date, by the same card, at the price on our pricing page at the time. We email the account holder a reminder before each renewal, and we will tell you at least 30 days before a renewal if the price is going up. Your lodge can turn renewal off at any time (see "Ending the agreement").
  • If a payment fails, Stripe tries again over the following days and we let you know. If it still isn't paid, your lodge's seating plans become read-only: your team can still see, print and download everything, but can't make changes, until the lodge pays. We won't delete a lodge's information because of an unpaid renewal without first emailing the account holder at least twice, and not within 90 days of the renewal date.
  • Lodges that helped us test Lodge Platform keep using it free until we tell them otherwise. We will give the account holder at least 30 days' notice, and nothing will be charged without the lodge's agreement.
  • Refunds are explained on our refunds and cancelling page.

Your information, and taking it away

  • Your content belongs to your lodge. You give us permission to store it and use it only to provide the service to you.
  • Your lodge can take its information away at any time: seating plans can be downloaded as plan files and spreadsheets (CSV), and the account holder can download the lodge's information. No fee, no notice needed.
  • How we handle personal information is explained in our privacy notice and data processing agreement.

Keeping the service running, and support

  • We work to keep Lodge Platform available and your information safe, and we keep backups. We can't promise the service will never be interrupted: we sometimes need to update it, and things outside our control can go wrong.
  • We do our best to tell you in advance about planned interruptions that could affect a meeting.
  • Support is by email at web@lodgeofalliance.org. We aim to reply within 2 working days.
  • Keep your own copy of anything you need for a meeting night: print or download the plan beforehand.

We are independent

Lodge Platform is an independent service. It is not endorsed by, or connected with, the United Grand Lodge of England or any Province or District. Using it does not mean a lodge's Province has approved anything.

Ending the agreement

  • Your lodge can stop at any time: on the lodge's Account & billing page choose "Manage payment or cancel", or email us. Cancelling stops the next renewal. The lodge keeps the service until the end of the year it has paid for. Our refunds and cancelling page explains when you get money back.
  • We may suspend or close a lodge's access if the lodge seriously or repeatedly breaks these terms, if a renewal isn't paid (as above), or if we have to by law. Unless it is urgent or the law stops us, we will tell the account holder first and give them a chance to put things right and to download the lodge's information.
  • If we stop providing the service altogether, we will give at least 60 days' notice, refund the unused part of any year paid for, and make sure lodges can download their information first.
  • When an account or a lodge is deleted, what happens to the information is explained in our privacy notice.

Our responsibility to you

  • We provide the service with reasonable care and skill.
  • We are not responsible for your content, for decisions your lodge or Province makes, or for losses caused by something outside our reasonable control.
  • We are not responsible for losses that weren't a foreseeable result of our breaking these terms, or for loss of profit, business or opportunity.
  • Apart from the cases below, our total responsibility to your lodge for everything arising in any 12 months is limited to the greater of the amount your lodge paid us in those 12 months and £100.
  • Nothing in these terms limits our responsibility for death or personal injury caused by our negligence, for fraud, or for anything else the law doesn't allow us to limit. If you are a consumer, nothing in these terms affects your legal rights.

Changes to the service and to these terms

We may update these terms, for example when we add features, start charging or the law changes. Each version has a number and a date at the top. We will tell account holders about important changes by email or on screen at least 30 days before they apply, and we will ask everyone to agree to the new terms before they carry on using the service. If your lodge doesn't agree, it can stop using the service and we will refund the unused part of any year paid for.

The law that applies

These terms are governed by the law of England and Wales, and the courts of England and Wales can deal with any dispute. If you live in Scotland or Northern Ireland, you can also bring proceedings there. Before going to court, please email us at web@lodgeofalliance.org: most things can be put right quickly.
